Quick Start Guide

Create and share your first exercise program in under 2 minutes

Before you start: Open sendhep.com on your phone, tablet, or computer and log in. For the best experience, add SendHEP to your home screen — tap the browser's share button and select "Add to Home Screen." No app download required.

Your Dashboard

When you open SendHEP, you'll see your home screen. Tap "+ New Program" to start building, or use "Use a Pack" to start from a preset diagnosis-based template. Your recent programs appear below for quick access.

  • Tap any recent program to resend, view, or copy the share link.
  • Use the "By Client" tab to find programs organized by client.
  • Bottom navigation: Library, Packs, and Settings.

Browse the Exercise Library

Tap "Library" to browse all 88+ exercises with professional illustrations. Tap exercises to select them — they appear in the build tray at the bottom. When ready, tap "Build."

  • Search or filter by body region to find exercises quickly.
  • Start from a preset pack for a curated starting point.

Build Your Program

Customize each exercise with sets, reps, hold times, frequency, and resistance. Drag to reorder. Use "Bulk Edit" to apply the same parameters across all exercises at once.

  • Tap the edit icon to customize individual exercises.
  • "Save as Custom Pack" to reuse this combination for future clients.

Share with Your Client

Tap "Continue to Send," enter a client identifier, add optional notes, and tap "Generate & Send." You get a downloadable PDF, a copyable link, and a direct share option. The EMR Documentation section provides a copy-paste summary for your clinical notes.

  • Client identifiers stay on your device — never sent to our servers.
  • Share links expire after 90 days (adjustable in Settings).
  • Your client does NOT need an account to view their program.

How your data is stored, synced, and protected

Important: Client identifiers (names/initials) are stored only on the device where you created the program. This is intentional for privacy — it means client names never reach our servers. But it also means if you clear your browser data, switch devices, or uninstall the app, your local client history will be lost unless you back up first.

How to Back Up Your Data

SendHEP has a built-in backup feature that saves your programs, custom packs, and settings to a file on your device.

Open SendHEP and go to Settings (bottom navigation bar).
Scroll to the "Backup & Restore" section.
Tap "Download Backup." You'll see a summary of how many programs, clients, and packs will be included.
Tap "Download Backup" again to confirm. A file named sendhep-backup-YYYY-MM-DD.json will be saved to your device.
Store the file somewhere safe — your computer, cloud storage (Google Drive, iCloud, Dropbox), or email it to yourself.

When to Back Up

Make a habit of backing up regularly, and always before any of these situations:

How to Restore from a Backup

Go to Settings → Backup & Restore → Restore from Backup.
Tap the upload area and select your sendhep-backup-*.json file.
You'll see a preview showing the backup date and how many programs/packs it contains.
Choose a restore mode:
  • Merge (default) — adds backup data alongside your existing data. Won't overwrite programs that already exist.
  • Replace — overwrites all local data with the backup. Use this for a clean restore on a new device.
Tap "Restore Data" and wait for the confirmation message.

What About Switching Devices?

When you log into SendHEP on a new device, here's what transfers automatically and what doesn't:

Best practice for device transfers: Before switching, download a backup on your old device. Log in on the new device, then restore from that backup. This gives you a complete transfer including client history.

What's in the Backup File?

The backup is a standard JSON file containing your program history (including client identifiers, exercise selections, dates, and share IDs), custom exercise packs, and app preferences. It does not contain your password or payment information. The file is not encrypted — treat it with the same care you'd give any file containing client identifiers.

Three Ways to Share

After building a program, you have three options for getting it to your client:

Share Link Details

Share links use a random ID — there's no client name or identifying information in the URL itself. Links expire after a configurable period (default: 90 days). You can change this in Settings → Preferences → Link Expiration.

Resending & Managing Programs

From your dashboard, tap any program to access it. You can resend (which refreshes the expiration date), copy the link, deactivate the link (makes it inaccessible to the client), or delete the program entirely.

EMR Documentation

After generating a program, the success screen includes an "EMR Documentation" section with a formatted summary of the prescribed exercises. Tap "Copy to Clipboard" to paste it directly into your clinical notes. Choose between Concise and Full formats.

Start from curated sets or build your own

Preset Packs

SendHEP includes 10 evidence-based preset packs organized by common diagnoses. These give you a curated starting point — select a pack, then customize the exercises, sets, and reps for your specific client. Preset packs include:

Creating Custom Packs

Build a program with the exercises you want, then tap "Save as Custom Pack" on the Build screen. Give it a name and it's saved. Custom packs sync to your account, so they're available on all your devices.

Managing Custom Packs

Go to the Packs tab (bottom navigation) to see all preset and custom packs. Tap a custom pack to use it, edit its exercises, rename it, or delete it.

Install on Your Device

Add SendHEP to your home screen for an app-like experience

SendHEP is a Progressive Web App (PWA). You don't need to download it from an app store — just add it to your home screen from your browser.

iPhone / iPad (Safari)

Open sendhep.com in Safari (not Chrome — iOS requires Safari for PWA installs).
Tap the Share button (square with arrow at the bottom of the screen).
Scroll down and tap "Add to Home Screen."
Tap "Add" in the top right. SendHEP now appears on your home screen like a regular app.

Android (Chrome)

Open sendhep.com in Chrome.
Tap the three-dot menu (top right).
Tap "Add to Home Screen" or "Install app."
Confirm. SendHEP will appear on your home screen and in your app drawer.

Desktop (Chrome / Edge)

Open sendhep.com in Chrome or Edge.
Look for the install icon in the address bar (small monitor with a down arrow), or open the browser menu.
Click "Install SendHEP" or "Install app."
Why install? Installing SendHEP gives you a fullscreen experience without the browser toolbar, faster launch times, and an app icon for quick access. It also ensures offline mode works reliably.

Working Offline

Build programs without an internet connection

SendHEP uses a service worker to cache the app and exercise library for offline use. This is especially useful for home health clinicians working in areas with poor connectivity.

How Sync Works

When you create or modify data while offline, SendHEP queues those actions. When connectivity returns, the queue is processed automatically — programs sync to the server, share links become active, and custom packs update. You'll see a brief offline banner at the top of the screen when there's no connection.

Tip: For the most reliable offline experience, install SendHEP to your home screen (see Install on Your Device). This ensures the service worker has full caching capability.

Settings & Preferences

Customize SendHEP for your workflow

Access Settings from the bottom navigation bar. Here's what you can configure:

Profile

Branding

Upload your practice logo in Settings → Branding. Your logo will appear on PDFs generated in the app, giving your printed handouts a professional, branded look. Note: the logo is stored on your device and does not appear on the web-based client view (share link) — only on downloaded PDFs.

Advanced

Under the "Advanced" section (tap to expand), you'll find Sync Now (force a data sync with the server) and Clear Cache & Reload (useful if the app seems stuck or out of date). Use the Clear Cache option as a troubleshooting step — and back up first.

Troubleshooting

Common issues and how to fix them

"Account setup incomplete" Error

If you see a red error message saying "Account setup incomplete. Please try signing out and back in" when trying to generate a program, this usually means your login session has expired. The fix is simple: close and reopen the app (or refresh the page). This triggers a session refresh. If it persists, sign out and sign back in.

App Seems Stuck on an Old Version

If the app doesn't seem to reflect a recent update:

Go to Settings → Advanced → Clear Cache & Reload.
The app will reload with fresh files from the server.
If that doesn't work, try closing all browser tabs and reopening sendhep.com.
Note: Clearing the cache does NOT delete your local data (programs, packs, settings). It only refreshes the app code. However, if you're ever unsure, download a backup first.

Programs Not Appearing on Another Device

Remember that program history (with client identifiers) is local to each device for privacy. Custom packs and active share links sync across devices automatically. To transfer your full program history, use the Backup & Restore feature (see Data & Backup).

PDF Not Downloading

PDF generation happens entirely in your browser. If a download doesn't start:

Check that your browser allows downloads from sendhep.com (pop-up/download blockers may interfere).
Try a different browser — Safari and Chrome are both well-supported.
On iOS, the PDF may open in a preview instead of downloading — tap the share icon to save it.

Share Link Not Working for Client

Check these common causes:

Has the link expired? Check the expiration date on the program's detail screen.
Did you deactivate the link? Deactivated links show an error to the client.
Was the program created offline? If so, the share link won't work until the program syncs. Check that you have internet access and wait a moment for the sync queue to process.

Can't Sign In / Forgot Password

Use the "Forgot Password" link on the sign-in screen. You'll receive an email with a reset link. Check your spam/junk folder if it doesn't arrive within a few minutes. If you're still stuck, contact us at support@sendhep.com.

No. Your client just taps the share link you send them and their exercise program opens right in their browser. No download, no account, no friction.
Client identifiers (names or initials) are stored only on your device — they are never transmitted to or stored on SendHEP's servers. The exercise programs that reach our server contain no client-identifiable information. All connections use TLS encryption, and our database uses row-level security so each clinician can only access their own data.
Yes. Your account, custom packs, settings, and active share links sync automatically when you log in on a new device. The one thing that doesn't sync is local client identifiers and program history — for that, use the Backup & Restore feature to transfer between devices.
You can keep building. SendHEP works fully offline for browsing exercises, building programs, and generating PDFs. When connectivity returns, your programs sync automatically and share links become active.
The exercise library is curated and maintained by SendHEP. You can't add custom exercises at this time, but you can request exercises via Settings → Support → Request an Exercise. We review all requests and regularly expand the library.
SendHEP supports PT, OT, and SLP discipline labeling on programs. You can set your default discipline in Settings → Profile → Discipline, and change it per program when needed.
Your plan info is shown at the top of the Settings page. For plan changes, contact us at support@sendhep.com and we'll take care of it.
Yes. Go to Settings → Advanced (tap to expand) → Delete Account. This permanently removes all server-side data including your account, programs, and custom packs. Local browser data is also cleared. This action cannot be undone.
